Privacy policy regarding the processing of personal data by "MEDCONSULTING SERVICE" SRL within the American Medical Center hereafter AMC
We treat the confidentiality of personal data seriously and responsibly, and the security of personal data is a priority for us.
In order to be able to provide medical services such as: appointment for medical consultation, specialist consultation, taking of biological samples, carrying out medical investigations etc., AMC needs to process personal data of both its own employees and patients' personal data.
The purpose of this security policy is to ensure the appropriate level of protection of the personal data of data subjects through the proper application of national legislation on data protection and confidentiality of communication.
Privacy
American Medical Center is committed to not disclosing any information provided by personal data subjects, except in lawful situations. The protection of information during the processing of your personal data is a major concern of AMC, therefore all data collected is processed in accordance with national legislation in the field of personal data protection Law No. 133 of 8 July 2011 on Personal Data Protection.
Collection and processing of personal data
In dealing with its patients, visitors and employees, AMC processes personal data in the following record systems:
The Human Resources system, processing of personal data takes place in the context of the management of employment relationships, namely in the case of: recruitment, hiring, promotion, suspension or termination of employment of employees and/or potential employees of the AMC, as well as for statistical purposes, with the processing of the following personal data of employees: name, surname, patronymic, gender, date and place of birth, signature, data from civil status documents, no. personal health insurance code, mobile phone, profession, position, training, diplomas, education, family status, image, nationality, place of work, personal social security code, address, state identification number and health data which may be recorded in: individual employment contracts, employment orders, identity documents, military booklet, birth certificate, education certificates, training/training certificates, medical certificates.
Personal data concerning the personal file will be stored as an archival document for 75 years and the storage of other categories of personal data will be carried out according to the terms established by the Indicator of standard documents and their retention periods for public administration bodies, institutions, organizations and enterprises of the Republic of Moldova and the Instruction on the application of the Indicator, approved by Order No. 57/2016 of the State Archive Service;
The accounting system processes personal data in order to keep track of working hours, wages paid, taxes, bank transfers, cash or card payments, set up for the purpose of remunerating employees, making up-to-date reports to management, making reports to the competent bodies, making payments/transactions with other entities with which the operator has contractual relations, processing the following data: name, surname, patronymic, sex, date and place of birth, signature, data from civil status documents, no. pension file, personal health insurance code, mobile phone, email, profession, position, training, diplomas, education, family status, image, nationality, driving licence data, personal social security code, address, place of work, IDNP state identification number and health data;
Personal data in this record system will be stored for a period of 6 years from the time of the transaction, and in case of disputes, with the possibility of extending the period until the case is resolved, in accordance with Order No. 57/2016 of the State Archive Service and the provisions of Law No. 308/2017 on preventing and combating money laundering and terrorist financing;
The Medical Information Record System, retrieves information containing personal data and special categories of personal data in order to provide, organize and make more efficient the medical services rendered which involves the collection/processing/storage of personal data for:
- making patient appointments for medical consultation and diagnostic services provided by the AMC;
- providing medical consultation and diagnostic services in accordance with the protocols and medical acts of the AMC;
- issuing medical results and conclusions;
- completing reports and submitting them to the competent bodies (Ministry of Health, etc.).
The following categories of data will be processed within this record system: name, surname and patronymic, personal state identification number (IDNP), date of birth and residence, data on family status (at the request of the applicant), gender, personal data of family members, bank details, signature, telephone/fax number, mobile phone number, address (home/residence), e-mail address, genetic data, biometric and anthropometric data, profession and/or place of work, physical characteristics, where appropriate, other data necessary to fulfil the purpose mentioned;
Personal data in this record system will be stored for a period of 25 years from the time of recording the information, and in case of disputes, with the possibility of extending the period until the case is resolved, in accordance with Order No. 57/2016 of the State Archive Service.
The call centre record system retrieves information containing personal data and special categories of personal data in order to improve the quality of services and conversations with patients, to inform about AMC services and products, to make patient appointments for medical consultation and diagnostic services offered by AMC, to better understand patient requests, to access, check records in case of complaints or claims from patients.
The following categories of data will be processed within this record system: name, surname and patronymic, personal state identification number (IDNP), date of birth and domicile, telephone/fax number, mobile phone number, address (domicile/residence), e-mail address, where applicable, other data necessary to fulfil the said purpose;
Personal data in this record system will be stored for a period of 1 year from the time of registration of the information, and in case of disputes, with the possibility of extending the period until the case is settled.
The corporate e-mail record system is a means of administering and providing services to AMC's customers. Personal data of employees as well as patients is collected within this record system, covering correspondence with visitors, patients, customers and between employees.
The following categories of data will be processed within this record system: name, surname, email address and other personal data that will be included or requested by the applicant.
Personal data in this record system will be stored for a period of 3 years from the time of registration of the information, and in case of disputes, with the possibility of extending the period until the case is resolved, in accordance with Order No. 57/2016 of the State Archive Service.
The Correspondence system of records comprises all the information concerning petitions, complaints, approaches, letters, notifications sent in paper or automated electronic form in which the personal data of individuals are recorded. Depending on the purpose and scope, the following categories of data are collected: name, surname, home address, telephone number, email and any other information contained in the petitions.
Personal data in this record system will be stored for a period of 3 years from the time of registration of the information, and in case of disputes, with the possibility of extending the period until the case is resolved, in accordance with Order No. 57/2016 of the State Archive Service.
The website www.amc.md - is a personal data collection system that collects and processes data of visitors, employees and patients of the AMC. The processing is carried out in an automated way, and it concerns AMC customers and visitors to the site. On the AMC website personal data of some employees are posted, such as name, surname, photo image, education, work experience, CV, etc.
When you visit AMC's website, the web server automatically registers the name of your internet service provider and the website from which you visit us. Other personal data will only be stored if volunteered by you, e.g. in the context of an appointment.
The information we obtain depends on the services accessed, in particular it concerns: name, surname, address, telephone numbers, e-mail address.
Your data will be treated in accordance with the current legislation on Personal Data Protection and will be used by AMC for the following purposes:
- operational purposes - making online appointments;
- for communication purposes (e-mail, messages, chat);
- information purposes about AMC services;
For the purpose of processing your request. AMC undertakes not to make public the personal data submitted by you via the website and not to disclose them to third parties.
The video surveillance system collects personal data of employees as well as visitors or customers by capturing photo/video images. The purpose of this recording system is to ensure the security of assets and individuals. Personal data in this record system will be stored for a period of 5 calendar days from the time the information is recorded;
The access control system was implemented by the AMC in order to implement the necessary organisational and technical measures to ensure an adequate level of protection of personal data. Personal data of employees are processed in this record system, such as: name, surname, time/date of access, location, etc. Personal data in this record system will be stored for a period of 1 year from the moment the information is recorded;
Data security
This site takes all security measures to protect the personal information of our users. When filling in personal data on our website, the information will be protected both offline and online. Data submitted via appointment forms or contact forms will be encrypted and protected. All user information, mentioned above, will not be subject to any other activities, other than those mentioned above.
Information for users (visitors)
As a user (visitor) you have the following responsibilities:
- to provide true, accurate and complete information about yourself as required by the registration form where applicable;
- to maintain and update when required, your registration data to be true, accurate and complete.
At the same time, you agree not to do the following:
- publish material containing viruses or other programs with the intent to destroy this system or any system or information;
- publish material that is obscene, defamatory, threatening or malicious towards another user, natural or legal person, material or information prohibited by the legal provisions in force;
- publish an image or statement that contravenes the applicable legal provisions in force.
In the event of non-compliance with these conditions, AMC will dissociate itself from the author, delete the information in question and may take legal action.
Data retention period
We will retain your personal data for as long as necessary to achieve the purposes stated herein, unless longer retention is required or authorized by applicable law. Retention of anonymised data is not governed by such limitations or requirements.
Changes to the Privacy Policy
This policy shall be amended or revised as necessary. The privacy policy is published on the website of the medical institution.
